A Parent Guide to Swim Meets!

MEET RSVP: Please be sure to RSVP for the weekly swim meets no later than noon the Friday before the next week's meets. It is important that the coaches know who is participating so they can prepare the line up.

ARRIVAL TIME: Please arrive at the pool on time for all meets. The start time of the meets can be found on the website, usually parents and swimmers will be required to arrive between 5:00pm - 5:30pm. Be aware of the traffic in the evenings and leave plenty of time to arrive at our away meets on time. Please sign in with the Volunteer Coordinator as you enter before you proceed to your seats.

COACHING: During the meet Coach Stan will be on deck observing each child. These observations will be used in upcoming practices to help swimmers improve. The assistant coaches will be helping swimmer get set up for starts, reminding swimmers of specifics for each race (stroke type, sequence, etc...). Please allow them to focus on these activities. No parents should be in the ready area, start or finish areas that are not working a volunteer shift.

What to Bring

  • Team swimsuit, cap, goggles (an extra pair of goggles is a good idea!), team tshirt, towel, and sunscreen. Make sure all items are well labeled with your child's name.
  • Plenty of snacks and drinks to keep your swimmer hydrated and energized. (The Bistro also sells food & drink during the meet).
  • Games for your child for time in between meets. (travel games, books, ds etc)
  • Folding camp chairs to sit on, and a canopy for shade if you have one (Away meets).
  • Event reports/heat sheets printed from the website, and a black sharpie marker for marking up your child
  • Print heat sheets or use Meet Mobile App.  PLEASE print out your heat sheet and bring to the meet. There are no extras at the meet and none for sale. For our new parents, the heat sheet is the master key to the meet. All the events and swimmers are listed on the heat sheet. For our new swimmers, they will have NT next to their time which means NO TIME. Our returning swimmers will have their time from the previous year on the sheet.

Upon Arrival

  • Be on Time! Warm-ups begin well before the meet start time.
  • Ensure your swimmer has sunscreen on and is marked up with his/her event information. (Age group parents can help new swimmer parents with marking up their swimmer).
  • Swimmers report to their coaches after arrival.
  • VOLUNTEERS: If you have signed up to volunteer NO MATTER WHAT SHIFT, PLEASE check in with our volunteer coordinator as soon as you get to the pool. We LOVE our volunteers and like to know we have all our bases covered.

Marking up your Swimmer

  • Find your child’s race information on the Event Reports/Heat Sheets.

(E = event, H = heat, L = lane, S = Stroke). For relays, add a column for position on team, ie. 1,2,3,4

During the Meet

  • WHAT YOUR SWIMMER SHOULD KNOW: First and foremost have fun! Do their best and enjoy the meet. PLEASE leave the coaching to our amazing coaches and just encourage your swimmers. If you are volunteering and leaving your swimmer especially our younger swimmers, please make sure they know where all their "stuff" is snacks, goggles, money and entertainment. Please remind your swimmers to stay with the age group parents and not wander off as this can create chaos when time comes to swim. Please lather your swimmers with sunscreen prior to arriving at the pool.
  • FOOD AND REFRESHMENTS: As a general rule we like to promote “green” thinking so bring a reusable water bottle. Water and ice will be available. At home meets concessions such as chips, candy, ice cream, etc will be available until 9:00. At 7:00 a buffet will be provided for all attendees and can be paid with credit card or club member #. The cost is $12 for adults and $6 for kids 12 and under.  You can bring in food and drinks, but we ask that people do not bring in glass. Please be aware of any food allergies and discourage children from sharing foods.
  • READY BENCH: Age group parents are responsible for getting our swimmers to the ready bench so if you choose to take your child out of the age group tent during a meet, you are responsible for informing the age group parent and getting them to the ready bench on time. Failure to get to the ready bench will mean your swimmer is scratched from the race.
  • DISQUALIFIED: Swimmers will be DQ'd (disqualified) for improper strokes. If your child is DQ'd please assure your swimmer that it is okay and how proud you are of them for trying. The coaches do get a list of what the swimmer was DQ'd for and they will go over with the swimmers in practice!
  • SPORTSMANSHIP: Wavemakers stay in the water at the end of their races until all swimmers have touched the wall, it's respectful to other swimmers. Once all swimmers have finished the race swimmers may exit the pool.

Additional Thoughts

  • Please MARK EVERYTHING with the swimmers name so we can avoid lost shirts, towels, caps, bathing suits, etc. The meet should finish between 8:00pm and 9:00pm. We encourage all parents and swimmers to stay until the end of the meet to cheer on all of our Wavemakers.
  • Wear sunscreen!
  • Bring credit card or cash – The Bistro will only accept credit card or member charge. At away meets, cash is often accepted.
  • Have fun watching all the kids experience summer swim. Most of all, the Wavemakers want to be known for our good sportsmanship. Please congratulate the winner no matter what team they are on, please encourage all swimmers and please encourage your swimmers to do the same. Our swimmers will follow our example.
  • T-SHIRTS: Wear Wavemakers or blue t-shirts or spirit gear to meets, if you would like to buy a t-shirt, please go to the shop.

What is Arm Marking

You must mark your swimmer to reflect which event, heat and lane they are racing. This is used to help remind the swimmer of their events. Use the heat sheet to find and highlight your child's events. Mark the arm as illustrated below in the picture in the order of Event/Heat/Lane.

Write on clean dry skin with no sunscreen. It is best to do this the night before in order to minimize sunscreen washing it away. Please also write your child's full name on their upper back.

Heat Sheets will be posted on website.

Example of Arm Marking

Write Clearly and Legibly on your child's arm as illustrated in the picture.

Stroke: If you'd like to note the stroke do so after the lane designation.
- FR = Freestyle
- BA = Back Stroke
- BR = Breast Stroke
- FLY = Butterfly
- IM = Individual Medley
- FRR = Free Relay (All swimmers swim freestyle)
- MR = Medley Relay (Each swimmer swims a different stroke: 1st = back, 2nd=breast, 3rd=fly, 4th=free)

Relay Marking: This will designate the relay leg the child is swimming.
- 1/1 = Lane 1, first relay leg
- 4/2 = Lane 4, 2nd relay leg **If the Medley Relay this will be Breast Stroke

Packing for a Swim Meet

Swimmer Pack List:

  • Wavemakers Swimsuit
  • Wavemakers Swim-cap
  • At least one pair of goggles( 2 pair preferred in case one breaks)
  • At least 1 towel for warm-up and meet
  • Sunscreen
  • Clothes/Coverup to wear between events if preferred
  • Healthy Snacks (be aware if your age group has an allergy)
  • Water bottles
  • Chair for under the tent (away meet)
  • Entertainment: Be prepared to sit around for several hours. Staying awake and alert will help you swim faster, so bring whatever keeps you happily entertained: something to read, pens and paper for coloring, your iPod, board games, or all of the above. NOTE: items will get wet!

Parent Pack List:

  • Sharpie (to write your child's name, event #, heat #, position on his/her back shoulder before the meet if you didn't do it the night before). DO NOT put sunscreen on before body marking, or the body marking will smear all over the place.
  • Money - The hosting team runs most swim meet concessions. Any profits go to support their team, so bring cash for away meets.
  • Snacks/Dinner
  • Sunglasses and/or a hat
  • A portable chair for away meets.
  • More sunscreen
  • Entertainment
  • Camera
  • Good cheering voice. Swimmers can hear in the water. The louder the crowd, the more exciting their swim!
